The callback promised and lost
“I’ll ring you as soon as I have the report.” The promise is written on a slip, the slip is under a file, and the patient rings back two days later, unhappy.
What must not be left lying around
A voicemail contains a reason for consultation. It is played on a shared handset, forwarded by email, and it stays six years in a mailbox nobody administers.
What changes on reception
The queue rings back for you.
A patient who does not want to wait hangs up; a patient offered a callback keeps their place and hangs up satisfied. Those are not the same thing, and the difference shows in the abandon rate.
- Automatic callback — the caller keeps their place in the queue without staying on the line. The system rings them when their turn comes.
- An honest wait announcement — “two people ahead of you”, not “your call is important to us”.
- Opening hours and public holidays — the message changes by itself on the first of May, without anybody remembering the night before.
- Urgent calls separated — a dedicated number that bypasses the queue and rings the handsets you choose.
What changes after the call
A promised callback becomes a line somebody has to close.
The shared inbox handles calls the way your mail client handles email: what is done disappears, what is left is visible to the whole team.

- The patient known before you pick up — their name, their last visit, the note left the time before.
