A practice cannot let the phone ring, and cannot let anyone listen.

The call that arrives during a meeting

A practice takes few calls, and each one counts. The one that does not connect is a matter going elsewhere, and you will not know which.

What the phone system hears

Voicemail on a shared server, a transcript sent to a third-party service, a recording kept “by default”: three ways of letting privileged information out.

The associate who leaves

They take their mobile, their number, and the history of the conversations they had with the practice’s clients.

What changes on reception

Being reachable without keeping somebody permanently on the phone.

A small practice has no switchboard operator. It has an assistant doing ten other things, and a call queue that has to behave properly without them.

  • A discreet cascade — reception, then the associate concerned, then voicemail. With no announcement saying “all our advisers are busy”.
  • The client known before you pick up — their name and their matter, on screen, before anybody has said hello.
  • Voicemail transcribed and filed — into a queue shared between the people you name, and nobody else.
  • Callbacks from the practice number — including when the associate rings back from home.

What changes for privilege

What is not recorded cannot leak.

Konvoice’s default position is the minimum: nothing is recorded and nothing is transcribed until somebody has decided so for a specific queue, and has written it down.

  • Recording off on delivery — and enabled queue by queue, never globally.
  • Every playback traced — who, when, which recording. The log is chained and does not rewrite.
  • Retention periods per content type — enforced by the platform, not by an internal instruction.
  • One credential per device — the desk phone, the mobile and the app each have their own; one theft does not open all three.

Konvoice Edge

The practice stays reachable internally with the line down.

A practice fits on one floor: a few handsets, a meeting room, a reception desk. An Edge keeps the essentials standing there when the building’s link drops.

  • The practice handsets keep calling and transferring to each other.
  • The announcement and the opening hours are served on site.
  • Messages are recorded locally, encrypted, and sync back afterwards.
  • The backup line keeps a way out to the outside world.

Questions we get asked in this trade

Can Naya be switched off entirely?
Yes, and for many practices that is the setting chosen. Naya is enabled queue by queue and can be switched off entirely at workspace level. When she is off, no audio leaves your perimeter to be transcribed: this is not a display setting, it is a processing operation that does not take place.
Who at Konvoice can listen to a recording?
Nobody, in normal operation. An operator accessing a customer’s data requires an intervention you explicitly requested, limited in time, and it leaves a line in your audit log — the one you read, not the one we keep. The terms are in the data-processing agreement, not in a policy we could change on our own.
Does an associate who leaves take the history with them?
No. Conversations held on the practice’s number belong to the practice: they stay in the workspace when the account is deleted. The app removes itself from a personal phone in one tap, and the number it presented was never theirs in the first place.
